Product recall is a common occurrence for manufacturers and other regulated industries. As supply chains become globalized, products are becoming advanced, and compliance requirements continue to become stricter. Even small lapses in quality can lead to large-scale recalls. Though the impact of a product recall on pharmaceutical manufacturers, medical device manufacturers, food manufacturers and aerospace companies creates a temporary interruption, it’s an additional measure of quality maturity, governance and operational resilience.
A robust QMS is critical in this situation. A QMS that is implemented effectively should be used to prevent recalls instead of reacting to them through standardized processes, continuous monitoring, corrective and preventive action, and strong traceability. Having a mature QMS with a connected post-market surveillance system in place will also provide for faster containment when a recall happens, more accurate communication and assistance with regulatory compliance.
Organizations need to have systems in place so that when products are recalled, they can execute those recalls promptly and effectively and have systems to prevent those situations from occurring in the first place.

Recall drills and readiness testing: Regular simulation of recalls, such as recall drills or testing recall readiness, allows organizations to examine their procedures' ability to be carried out as written. The simulation process will also disclose any flaws in traceability records, communication procedures or recall process documentation that would not otherwise be recognized until the actual recall process. Organizations that perform recall drills can respond to a recall in quick time with greater completeness.
Data management and traceability systems: To successfully manage recalls, organizations must have adequate data management and traceability systems. As part of a QMS, quality professionals should be able to maintain complete records of all product lots, sources of raw materials, production equipment used to manufacture products, and the locations of customers who have purchased those products. Modern quality systems are relying on the use of software-based solutions to automatically capture and link this data, thus reducing the organization's reliance on manual recording of data and improving the speed, accuracy and reliability of traceability.
Communication protocols and escalation procedures: The right people must make recall decisions, all stakeholders should understand their roles and their responsibilities in the recall process, and regulatory agencies need to be notified in a timely manner. The procedures for managing recalls should be documented by the QMS to assign responsible persons for regulatory notifications, establish procedures to communicate with customers and end-users, and track emerging trends in quality-related failures that could result in a recall.
Regulatory compliance monitoring: Tracking and reviewing data such as FDA warning letters, inspection observations, customer complaints, and internal quality trends allow companies to find and fix systematic weaknesses within their QMS before they result in a recall. By taking this proactive approach, compliance becomes a strategic function.
